3 rules before AI touches your data.

AI is not the scary part. Running it with no rules is. Here is a 10-minute checklist.

Before you start (1 minute)

• Know which AI tool you use, and what type of account it is: free, personal or business.
• Know what you want it to touch: email, files, or your CRM.

1. Rule 1: never use a free account for company data

   Free and personal plans (paid ones too, like ChatGPT Plus or Claude Pro) can use your chats to train the model, unless you switch that off. Tick each one:

   • Company data goes into a business plan only: ChatGPT Business or Enterprise, Claude Team or Enterprise. Your data is not used for training by default.
   • Client data and contracts never go into anyone's personal account.
   • Still on a personal account for now? Open Settings. In ChatGPT look for Data controls. In Claude look for Privacy. Switch off the option that lets your chats improve the model.

2. Rule 2: read only first

   For the first 2 weeks, the AI looks. It does not act. Tick each one:

   • When you connect email, drive or CRM, give read access only where the tool allows it, and keep the approval prompts on so nothing is sent without your click.
   • Add this line to the agent's instructions:

   READ ONLY. You may look at my emails, files and data, and suggest things. You may never send, delete, move, pay or change anything. If I ask you to, tell me to do it myself.

   • Watch what it would have done. After 2 weeks, decide what it is allowed to do.

3. Rule 3: anything that leaves goes through you

   The AI prepares. You press send. Tick each one:

   • Emails, payments and quotes: the AI prepares, you send.
   • Every agent has one named person who owns it.
   • That person checks it every Friday: 5 minutes, read what it prepared, note what was wrong.

4. Check your own plan ✅

   Describe your plan in the [brackets]. Do not paste real company data here. Paste this into a chat with Claude or ChatGPT. Press Enter.

٣ قواعد قبل ما يلمس الـAI داتا شركتك.

الـAI مش هو المخيف. المخيف إنك تشغّلو بلا قواعد. هيدي checklist بتاخد ١٠ دقايق.

قبل ما تبلّش (دقيقة)

• اعرف أي أداة AI عم تستعمل، وأي نوع حساب: مجاني، شخصي أو business.

1. القاعدة ١: ما تحطّ داتا الشركة بحساب مجاني

   الحساب المجاني أو الشخصي (حتى المدفوع، متل ChatGPT Plus أو Claude Pro) ممكن يستعمل المحادثات تبعك ليتدرّب عليها، إلّا إذا سكّرت هالخيار. علّم عكل واحدة:

   • داتا الشركة بتفوت بس عـحساب business: ChatGPT Business أو Enterprise، Claude Team أو Enterprise. الداتا ما بتنستعمل للتدريب.
   • داتا الزباين والعقود عمرها ما بتفوت عحساب شخصي لحدا.
   • لسّا عحساب شخصي هلّق؟ افتح Settings. بـChatGPT دوّر عـData controls. بـClaude دوّر عـPrivacy. سكّر الخيار اللي بيخلّي محادثاتك تحسّن الموديل.

2. القاعدة ٢: بالأوّل، read only

   أوّل جمعتين، الـAI بيطلّع وبس. ما بيعمل. علّم عكل واحدة:

   • لمّا توصّل الإيميل أو الـdrive أو الـCRM، عطيه read access بس إذا الأداة بتسمح، وخلّي طلبات الموافقة شغّالة لحتى ما ينبعت شي بلا ما تكبس إنت.
   • حطّ هالسطر بتعليمات الـagent:

3. القاعدة ٣: أي شي بيطلع برّا بيمرق من عندك

   الـAI بيحضّر. وإنت بتكبس send. علّم عكل واحدة:

   • إيميل، دفعة، عرض سعر: الـAI بيحضّر، وإنت بتبعت.
   • كل agent إلو شخص واحد مسؤول عنّو.
   • هالشخص بيراجعو كل جمعة: ٥ دقايق، بيقرا شو حضّر، وبيسجّل شو كان غلط.

4. دقّق بخطّتك ✅

   اكتب خطّتك بين [الأقواس]. لا تحطّ داتا شركة حقيقية هون. حطّ هيدا بـchat مع Claude أو ChatGPT. وكبوس Enter.
